Hosting terms
Version of October 3, 2026
Draft: HSRR is in test mode. These terms will be reviewed before HSRR takes real payments, and a published year will be asked to accept the final version.
1. Who these are for
These terms are between HSRR (High School Rowing Results) and the program that hosts a regatta on HSRR, accepted by an owner of that regatta when a year is published. “You” means the host program and the people who run the regatta on HSRR.
2. What HSRR does
HSRR publishes your regatta’s page, takes registrations from programs, collects entry fees for you by card through Stripe, and helps you run the race order and results. You decide your events, fees, deadlines, refunds and who may enter.
3. HSRR’s fees
- $2.00 per entry. By default it comes out of your entry fee; you may choose on Fees & payments to add it to what programs pay instead.
- A $0 entry (a free event, or a code that takes off the whole fee) costs the entering program $2.00 and nothing else; you receive nothing and owe nothing for it.
- A 1% service fee, added for the entering program on what it pays for its entries, up to $10.00 per program per regatta. You don’t pay it.
- When an entry is withdrawn and refunded, HSRR returns its $2.00; the 1% isn’t refunded.
- On entries paid by check, the program pays HSRR’s $2.00 per entry by card when you accept each entry; nothing is charged to you. The check covers your fee only.
4. Payments and payouts
Card payments are made to your program’s own Stripe account, set up by an owner of your program. You agree to Stripe’s Connected Account Agreement. Stripe’s card processing fees are paid by your account. Payouts to your bank, refunds Stripe can’t make, and card disputes are between your account and Stripe; HSRR doesn’t hold your money or your bank details.
If you accept checks, you collect them yourself and mark them received on HSRR. HSRR doesn’t track whether a check arrives.
5. Your regatta’s information
You’re responsible for what your regatta’s pages say: dates, events, fees, eligibility rules and deadlines. Programs rely on them when they enter and pay. If you cancel a regatta or an event, you refund the entries it affects.
6. Athletes’ information
Many athletes are minors. You use the names, lineups and other information programs give you only to run your regatta. You don’t sell it or publish it beyond what your settings allow. Your lineup setting decides whether crews’ names are public; programs see it when they register.
7. Publishing and unpublishing
An owner may unpublish a year until a program has registered for it. HSRR may unpublish a year, or stop taking payments for it, if its information is misleading or these terms aren’t kept; it will tell the regatta’s owners why.
8. Changes
HSRR may change these terms. A change is a new version with a new date; a published year keeps the version it accepted until an owner accepts the new one, and HSRR will tell owners before a change affects fees.
9. Questions
Ask HSRR before you publish a year if anything here is unclear. (Contact address to be added with the final version.)
